Terms and Conditions

Please carefully read these rules and conditions of membership and our privacy policy before you complete and hand the membership application to reception, as they are legal and, for insurance purposes, binding.

If you need any guidance on their implications or on membership details, please don’t hesitate to contact us.

A person wishing to become a member of Ministry Fitness must complete the official application form, which should be submitted online through the Ministry Fitness website or app.. The minimum age of a member is 16 years old.

All members must respect the facilities, staff, and fellow members at all times, which includes but is not limited to:

      Parking considerately in the car park and not parking illegally in the surrounding areas while using the gym.

      Wearing appropriate clothing in the gym. No jeans or dirty work clothes/footwear. Tops and appropriate footwear must be worn at all times outside of the changing area.

      Children under 16 should not be left unsupervised at any time anywhere in the gym

      Filming/Photography is currently permitted within the gym; however, no other gym members should be captured in film or still images. It is the responsibility of the person filming to obtain agreement from anyone around them before filming or taking photos and they must not photograph or film without the full consent of everyone that may be impacted. Retrospective consent should also be obtained where images are accidentally captured, and the image/footage deleted where consent is withheld. If you intend to use an image, you must explain what it will be used for and who might see it and obtain consent to do so. Anyone caught taking images without permission will be banned from the gym. Ministry Fitness staff reserve the right to see any and all images taken within the gym building. Failure to show Ministry Fitness staff any images will result in the member being banned from the gym. If in doubt, do not take any images.

      Do not leave your personal items (e.g. bags, hoodies, etc.) on machines or benches and allow other members to ‘work in’ and use equipment during your rest periods. Large bags should not be brought onto the gym floor and should be left in the lockers.

      You should be in control of the weights at all times. Please do not slam or drop weights as it may damage them or injure yourself or others.

      Put your equipment back in the correct place after use. Wipe down benches and equipment with antibacterial sprays and blue rolls situated around the gym floor and ensure any rubbish is disposed of in the relevant bins.

      If you are unsure how to use any equipment, please ask a member of staff or PT. We want you to stay safe and get the best out of your workout.

      If you notice any piece of equipment is damaged, whether you have accidentally damaged it or found it in that condition, please let us know at reception. We appreciate that accidents happen and want to ensure equipment is repaired without unnecessary delay and that no other user comes to harm.

      Members are only allowed access to communal areas and should not enter any doors marked ‘Private’ or ‘Staff’ or come behind the reception desk at any time.

Ministry Fitness reserves the right to reject any application for membership without giving any reason, in which case the full membership fee will be refunded immediately.

Smoking or vaping is not permitted anywhere in the building or car park.

Memberships are not transferable.

Ministry Fitness shall determine membership charges for use of the facilities. Charges may vary at the discretion of Ministry Fitness, and a list of current charges will be available online. Concession rates may be offered for corporate memberships, for those in full-time education with valid photographic ID, or for members over 60 with valid proof of age.

Membership can be renewed by payment to Ministry Fitness on or before the expiry date shown on the Ministry Fitness database. Ministry Fitness reserves the right to refuse renewal without reason.

Cancellation: Ministry Fitness will not refund any part of the membership fee for non-usage of facilities. Fully paid memberships are non-refundable if cancelled early.

Annual members paying monthly may cancel only after the initial 3-month contract period. One full calendar month’s notice in writing is required (email to info@ministryfitness.im or via social media message). One calendar month’s notice is defined as a full month following the next payment date.

Where payment is made by Direct Debit, Ministry Fitness will arrange cancellation after the notice period. If a member cancels their Direct Debit directly with their bank, membership will terminate immediately and the debt will remain on the system.

Members who cancel payments early or without notice may only be eligible for fixed-term memberships in the future.

Payment of membership fees is the sole responsibility of the member. Missed Direct Debit payments may incur additional fees outside the control of Ministry Fitness and will result in immediate suspension of gym access until all outstanding payments are settled.

Only annual memberships paid by Direct Debit or paid in full may be frozen at the discretion of Ministry Fitness management, and only in cases of medical incapacity (with a doctor’s note) or leaving the island (with proof of travel). Freezes must be for a minimum of 3 consecutive months and may only occur once per membership term.

Membership may be withdrawn at any time without notice at the sole discretion of Ministry Fitness. Any refund will be at the sole judgement of Ministry Fitness.

Ministry Fitness may contact members using the contact details provided but will not share these with third parties.

Ministry Fitness reserves the right to vary opening hours and to carry out maintenance without notice. No refunds will be issued for variations in facilities or equipment availability.

While staff are employed to manage the gym, constant supervision is not possible. Ministry Fitness accepts no liability for accidents, injuries, or loss. Members must ensure they are fit to exercise and not pose a risk to themselves or others.

All personal property is brought into the gym at the member’s own risk, including use of the car park.

Facilities must be vacated when instructed by staff or when the fire alarm sounds. Members should follow the instructions of our fire safety protocol. 

Anyone found on the premises under the influence of alcohol or drugs will be banned for life.

Members must not allow others to enter secure areas without scanning in. Any attempt at unauthorised access must be reported with the date and time immediately.
